Moving a Tenant

This profile defines the tenant and the lease, and ties the tenant to a unit. More than one tenant can be assigned to a unit.

Each profile must have a

Record ID consisting of an ID (short description) field and a Long Description field which uniquely identifies that profile record.

 

The number of tenants per unit is unlimited. Tenants can be in a current, future or past status. A separate ledger is maintained for each tenant and the transaction history is available indefinitely.

 

Tenants who are not paying rent can be entered for informational and reporting purposes. Payments received can be recorded and applied to the prime (responsible) tenant.

 

HUD tenants can be handled in one of several ways.

 

The profile contains basic information about the tenant as well as specific information on rent amounts, when rent is assessed and due, late fees, lease dates, rent changes and recurring charges.

If you will be sending a 1099 then the Send 1099 and Taxpayer ID fields must be filled in on Tab 3. If the tenant name field contains other than the tenant’s legal name, then the Taxpayer Name should be filled in.

Once entered, only someone with access to the Tax Reporting module will be able to see the Taxpayer ID information. Access to the Tax Reporting module is done through Access Groups.

 

There is a Profile Alert field on the Rent Changes tab.  Entering information in this field will cause it to display when the tenant profile is opened.

Categories assigned on the Categories tab let you add flexibility to the reporting and tracking functionality. The Documentation tab provides a means for attaching and cataloging pictures and documents to a profile.

The Tenant Info button will display information about the tenant status, rent amount, tenant's balance/open credits/security deposits.  It will also show whether the deposit is held by the management group and what the tenant's refund potential is.

 

Tenant Profile Report

You can print the profile while viewing it.  Click on <Report>, then <Preview>.

 

Buttons on the left:

Disbursement History - shows disbursements to the tenant, usually security deposit refunds

Site Repair History - shows work orders for the unit
